VOLUNTEER COORDINATOR

Role/Responsibilities

  • Recruit members to chair committees (August/September and April/May)
    Make sure that all committee chairs have all of the information they will need to complete their work/training for their committees
  • Oversee volunteer recruitment and ensure that committee chairs have appropriate support in completing their tasks
  • Ensure that all committees have a chairperson (September)
    Act as Board/Committee Liaison between 5 active committees: Social-Fundraising-Advertising-Cleaning-Educational Programming
  • Develop an understanding of all the responsibilities of DCP’s committees (August)
  • Provide/maintain a list of tasks for each committee chair
  • Communicate a timeline of task completion for each committee chair
  • Manage committees to ensure that tasks are being completed in a timely manner.
  • As needed, ensure that reports from each committee are provided to the Board of Directors for each regularly scheduled meeting
  • Hold an orientation for committee chairs in August/September
  • Approve committee communications to membership and community
  • Provide regular and accurate recognition to active members
  • Educate members about the duties of parents in a coop (September)
  • Work with the president to create and distribute summer mailer (June/July/August)
  • Work with president and social committee to organize meet the teachers night (June/July/August)
  • Ensure proper thank yous are given to supporters of DCP
  • Maintain clean and orderly bulletin boards
  • Facilitate the distribution of scholarship funds, when available

COMMITTEE CHAIR

Role/Responsibilities of Committee Chair

1. Sets tone for the committee work
2. Ensures that members have the information needed to do their jobs.
3. Oversees the logistics of committee's operations.
4. Reports actions to the business chair before each board meeting.
5. Reports to the full board on committee's decisions/recommendations as needed 

6. Assigns work to the committee members

Purpose: Provide opportunities that facilitate relationship building between families and staff

Composition: 2 chairs, at least 5 members

CLEANING COMMITTEE

Purpose: Manage a cleaning program for the preschool so that children have a clean environment for learning

Composition: one chair and members who have opted to clean the classroom

EDUCATIONAL PROGRAMMING COMMITTEE

Purpose: further DCP’s mission of providing quality educational opportunities for young children and their families

Composition: two chairs and at least three members

Purpose: Assist with development and implementation of technology that will benefit the school

Composition: At least one member

Purpose: Maintain DCP equipment
Composition: one chair and two or more members

COMMITTEE DUTIES

Social Committee

  • Create a directory (including information about member-owned small businesses) and distribute by early October (September)
  • Fall Social - plan, prepare, implement (September/October)
  • Spring Teacher Appreciation Week (first week of May)
  • 1 first semester and 1 second semester social family event
  • 1 first semester and 1 second semester parent event
  • End of Year Picnic - plan, prepare, implement (March/April/May) 
  • End of year teacher and board member recognition (April/May)
  • Staff recognition for significant life events as needed (i.e. birthdays, bereavement, retirement, birth, years of service) Please check with the teachers as to years of service as we would like to recognize 10, 20, 30 years of service.

Advertising Committee

  • Maintain DCP’s visibility in the community
  • DCP Sign - place sign outside and maintain
  • Welcome students and families, open house, fundraisers, enrollment period
  • Distribute flyers to local business for open house and enrollment before February 1st. (January)
  • Send an email campaign to current members to advertise open house and enrollment two weeks prior to open house (January /February)
  • Organize a table for First Friday in fall and spring and at additional fairs as enrollment numbers dictate (November and April)
  • Work with Social Media Coordinator to advertise to prospective members on the school FB page
  • Advertisements in print media (January)

Fundraising Committee

  • Determine fundraising campaigns to meet fundraising goals (September)
  • Present recommendations to the board (October)
  • Carry out all fundraising
  • Practice financial responsibility when working with funds
  • Communicate with families regarding ways to support the school with fundraisers, including AmazonSmile and Kroger Rewards. Advertise renewal sign ups.
  • Advertise and facilitate sign up for Kroger Rewards - provide opportunities for parents to sign up at the school or during GMMs
  • Organize and implement Scholastic book ordering and cooperate with teachers to determine use of rewards
  • Plan, organize and implement the annual Chili Cook Off. (October - February)

Cleaning Committee

  • Create/manage a cleaning schedule for parents
  • Communicate the cleaning schedule to all necessary parties (September/update at GMMs) 
  • Create a reference for all cleaning duties for parent cleaners. (August/September)
  • Evaluate and report all cleaning supply needs to the board. (August/September)
  • Ensure that the school is cleaned on a regular basis
  • Assists teachers in ensuring classroom instructional supplies are in order (i.e. assists with any instructional supply repairs, organizes library, organizes supplies for special projects as needed)
  • Collect school supplies and organize them in the school supply closet and classroom (September)

Educational Programming Committee

Note: all enrichment opportunities should be scheduled with the best attempt at reaching the most families possible


  • Organize and implement one fall and one spring field trip tied to teacher input and Early Learning and Development Standards (October/May)
  • Organize and implement one fall and one spring parenting education experience (September/April)
  • Support teachers in accomplishing instructional goals 
  • Recruit parents to share knowledge in the classroom
  • Work with Business Chair to organize a coffeehouse for parents to meet after drop-off at the start of the year, with a focus on answering questions about member duties and classroom curriculum/Montessori practices (September)
  • Organize one fall and one spring in-class enrichment experience for students (November/March)
  • Work with Business Chair and Secretary to maintain and update bulletin boards- one school information board and one cooperative needs board

Technology Committee/ Social Media Coordinator

  • Keep official Facebook page updated weekly with advertisements, local events, information about the school
  • Update software
  • Connect hardware
  • Problem solve
  • Be available as a resource
  • Support DCP members with new technology experiences
  • Price compare and advise in the purchasing of new equipment as needed
  • Take or collect photographs of events and classroom activities. Organize photos with music to make a slideshow/DVD as needed for promotional purposes.

Maintenance Committee

  • Clean outside equipment in play area regularly
  • Keep playground balls pumped-up throughout the year
  • Fix or paint classroom shelving per request of the teachers 
  • Fix any DCP equipment per request of the teachers
